Last updated: 6 October 2026

1. About Us

These Terms & Conditions (“Terms”) apply to your use of the RMG Scotland website at www.rmg-scotland.com and the online information, facilities and services made available through it.

The website is operated by:

Residential Management Group Scotland Limited
Company number: XXXXXXXX

Registered office:
The Isokon Building
International Financial Services District
98 Holm Street,
Glasgow
G2 6SY
Scotland UK

In these Terms, “RMG Scotland”, “we”, “us” and “our” refer to The Rennie Mackintosh Group Of Scotland.

By using our website, you agree to these Terms. If you do not agree to them, you should not use the website.

2. Our Services

RMG Scotland provides property factoring and property management services in Scotland.

Depending on the property, development and arrangements in place, our services may include matters such as:

  • property and development management;

  • management and maintenance of common areas;

  • arranging repairs and maintenance;

  • contractor and supplier management;

  • health and safety management;

  • buildings insurance administration where applicable;

  • financial and account administration;

  • customer services;

  • management of communal facilities and services; and

  • other associated property management services.

The precise services we provide in relation to a particular property or development are governed by the applicable contractual arrangements and, where relevant, our Written Statement of Services.

Nothing on this website alters or replaces those arrangements.

3. Property Factoring Services

Where RMG Scotland acts as a property factor, our services are provided subject to applicable Scottish law and regulation, together with the relevant Written Statement of Services and other contractual arrangements.

Information on this website is provided for general information and convenience.

If there is any inconsistency between general website information and the applicable Written Statement of Services or another binding agreement governing the services provided to your property or development, the applicable contractual documentation will take precedence, subject to applicable law.

4. Information You Provide

When contacting us or using our services, you are responsible for providing information that is accurate and, where relevant, up to date.

This may include contact details, property information, payment or account information and information relating to repairs, maintenance, complaints or other service requests.

You should notify us of relevant changes to your information using the appropriate contact or customer-service channels.

5. Repairs and Maintenance

Customers may be able to report repairs or maintenance matters through our website, customer portal, telephone services or other communication channels.

Submitting a report does not necessarily mean that a repair or particular course of action has been authorised.

We may need to investigate the matter, determine responsibility, obtain quotations, seek appropriate authority or follow other procedures before work can be instructed.

Timescales will depend on factors including the nature and urgency of the issue, access, contractor availability, responsibility for the work and any approvals that may be required.

Emergency matters should be reported using the appropriate emergency or out-of-hours contact arrangements where these are available for your property or development.

6. Contractors and Third-Party Services

As part of our property management services, we may arrange for work or services to be undertaken by contractors, suppliers and other third parties.

The availability and timing of third-party services may be affected by circumstances outside our reasonable control.

Where another organisation provides a service directly to you, that organisation may have its own contractual terms, privacy information and responsibilities.

7. Charges and Payments

Charges relating to property management, factoring, maintenance, insurance or other services will be determined in accordance with the arrangements applicable to the relevant property or development.

Information displayed on the website should not be treated as overriding invoices, account statements, Written Statements of Services or other applicable contractual documentation.

Where online payment facilities are provided, payments may be processed by a third-party payment provider.

You are responsible for providing accurate payment information and for ensuring that payments are made when due.

Nothing in these Terms alters any rights or obligations concerning charges, payment, debt recovery or disputes contained in the applicable contractual arrangements or arising under law.

8. Property Sales and Changes of Ownership

If you sell or purchase a property managed by RMG Scotland, certain information and documentation may need to be provided to us or to relevant professional advisers.

Owners should ensure that their solicitor is informed of RMG Scotland's involvement with the property where appropriate.

Charges, balances, notices and administrative requirements relating to a sale or transfer will be dealt with in accordance with the applicable arrangements and legal requirements.

9. Complaints

If you are dissatisfied with our services, you should contact us through the appropriate customer-service or complaints channels.

Complaints relating to our property factoring services will be handled in accordance with our applicable complaints procedure and the requirements governing property factors in Scotland.

Information about making a complaint and any applicable escalation procedure should be read alongside the relevant Written Statement of Services and complaints information provided by RMG Scotland.

Nothing in these Terms affects any statutory right you may have to refer an eligible matter to the appropriate tribunal, regulator or other body.

10. Website Information

We take reasonable steps to ensure that information published on our website is accurate and up to date.

However, website information is provided primarily for general information and we do not guarantee that every page will always be complete, current or free from errors.

Property-specific information, account information and contractual documentation should be relied upon where applicable instead of general website content.

We may change, update or remove website content without notice where reasonably necessary.

11. No Professional Advice

General information published on our website is not intended to constitute legal, financial, surveying, insurance or other professional advice.

You should obtain appropriate independent professional advice where required.

12. Third-Party Websites and Services

Our website may contain links to websites, applications or services operated by third parties.

Links are provided for information and convenience and do not necessarily constitute an endorsement of the relevant third party.

We do not control third-party websites and are not responsible for their availability, content, security or privacy practices.

You should review the relevant third party's terms and privacy information before using its services or providing personal information.

13. Website Availability

We aim to keep our website and online services available, but we do not guarantee uninterrupted or error-free access.

Access may occasionally be restricted or unavailable because of maintenance, updates, technical problems, security incidents or circumstances outside our reasonable control.

We may update, suspend, restrict or withdraw all or part of the website or an online service where reasonably necessary.

14. Acceptable Use

You must not misuse our website or online services.

In particular, you must not knowingly:

  • introduce viruses, malware or other harmful material;

  • attempt to gain unauthorised access to our website, systems, servers or customer accounts;

  • interfere with the operation or security of our website;

  • use automated systems to extract website data where you do not have permission to do so;

  • use the website for fraudulent or unlawful purposes;

  • impersonate another person; or

  • use our website in a way that infringes the rights of another person.

We may restrict or block access where we reasonably believe the website or an online service is being misused.

15. Intellectual Property

Unless otherwise stated, the content of this website, including its text, branding, logos, graphics, photographs, documents, layout and other materials, is owned by or licensed to RMG Scotland or another member of its group.

You may view, download or print reasonable extracts for your own personal and non-commercial use.

You must not reproduce, modify, distribute, republish, commercially exploit or otherwise use substantial parts of our website without permission, except where permitted by law.

Third-party trademarks and materials remain the property of their respective owners.

16. Documents Available Through the Website or Portal

Documents made available through our website or customer portal may relate to a particular customer, property or development.

Access to a document does not give you permission to publish, distribute or use it for purposes unrelated to the property or services concerned.

Documents should be read in their entirety and in the context in which they were issued.

17. Privacy

We process personal information in accordance with our Privacy Policy and applicable data protection legislation, including the UK GDPR and Data Protection Act 2018.

Our Privacy Policy explains what personal information we collect, why we use it, who we may share it with and the rights available to individuals.

18. Cookies

Our website may use cookies and similar technologies.

Further information about the cookies used on our website, their purposes and how you can manage your preferences is provided through our Cookie Policy and cookie consent controls.

19. Communications

Where you provide contact details to us, we may use them to communicate with you in connection with your property, account, enquiry or the services we provide.

It is your responsibility to ensure that the contact details we hold for you are kept reasonably up to date.

Electronic communications may be subject to delays or technical problems outside our reasonable control.

20. Limitation of Liability

Nothing in these Terms excludes or limits liability where doing so would be unlawful.

In particular, nothing in these Terms is intended to exclude or restrict liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or restricted.

To the extent permitted by law, we will not be responsible for losses arising solely from:

  • misuse of the website;

  • reliance on general website information instead of applicable property-specific or contractual documentation;

  • third-party websites or services outside our control;

  • unauthorised access resulting from a user's failure to keep their account credentials secure; or

  • events outside our reasonable control.

These website Terms do not alter liability arising under a separate agreement governing property management or factoring services.

21. Events Outside Our Reasonable Control

We will not be responsible for a delay or failure in website or online-service availability caused by circumstances outside our reasonable control.

Such circumstances may include telecommunications failures, utility outages, severe weather, fire, flooding, industrial action, cyber incidents, failure of third-party infrastructure or other events that we could not reasonably prevent.

This section does not affect any liability or obligation that cannot lawfully be excluded.

22. Changes to These Terms

We may amend these Terms from time to time to reflect changes to our website, online services, business practices or applicable law.

The current version will be published on this website and the “last updated” date will be amended accordingly.

Your use of the website following an update will be subject to the version of the Terms then in effect.

Changes to these website Terms will not, by themselves, amend a separate contract, Written Statement of Services or other binding agreement relating to property management or factoring services.

23. Severability

If any provision of these Terms is found to be invalid, unlawful or unenforceable, that provision will be treated as modified to the minimum extent necessary or, where necessary, removed.

The remaining provisions will continue to apply.

24. No Waiver

If we do not immediately enforce a provision of these Terms, this does not mean that we have waived our right to enforce it later.

25. Governing Law and Jurisdiction

These Terms and any dispute or claim arising from or connected with the use of this website are governed by Scots law, subject to any mandatory rights or jurisdictional rules that apply.

The Scottish courts will have jurisdiction in relation to disputes arising from these Terms, subject to any rights you may have under applicable law to bring proceedings elsewhere.

Nothing in these Terms affects any statutory rights or remedies available in relation to property factoring services in Scotland.
